**Vacation Rental Agreement**

**This document constitutes a Vacation Rental Agreement. By signing this Agreement, making a payment, or taking possession of the property after receiving this Agreement, you acknowledge your acceptance of its terms and your intention to utilize the property for a vacation rental.**

**Reservation Request and Confirmation**

1. Your reservation request has been received. Our guest relations team will review your request and contact you if, for any reason, we are unable to accept it. Please note that your reservation is not guaranteed until payment is received and confirmed by Valley Vista Vacations.

**Check-In and Check-Out Times**

2. Check-in time is scheduled for 4:00 PM or later on the day of arrival, while check-out time is no later than 10:00 AM on the departure day. Early check-in and late check-out are typically unavailable due to cleaning schedules. Your understanding in this regard is greatly appreciated. Early check-in or late check-out can be requested and accommodated based on availability and is subject to a $40 fee.

**Service Fees**

3a. If you booked your reservation through an online platform such as HomeAway/VRBO or its affiliates, please refer to their website for information on additional Service Fees. These fees are generally due at the time of booking.

3b. All reservations are charged a non-refundable security fee of $50.00CAD. This fee covers any damage or missing items during your stay up to a maximum replacement or repair value of $200.00CAD. Should the cost of repairs or replacement exceed $200.00CAD this service fee we will not constitute a settlement for damages, we will request that you cover the additional cost at your expense or through your travel insurance provider. All matters regarding damage or missing item reimbursement will be conducted through the booking platform for your reservation.

**Cancellation Policy**

4. Our Cancellation Policy is as follows:

- Cancellation or non-payment more than 60 days before your check-in date: Full rental amount refund less 10% admin fee, processed within 21 days of cancellation.

- Cancellation or non-payment within 60 days prior of your check-in date: Full rental amount (including cleaning fee) is forfeited unless the property is re-rented for the canceled nights. If re-rented, you will receive a refund equal to the amount paid by the new guest to a maximum of what was paid on your original booking, minus a 15% rebooking fee. This refund will be processed within 21 days after your scheduled departure.

- In the case of the Province of British Columbia or Local Government agencies prohibiting short-term rentals due to natural disasters, changes in legislation, and/or local bylaws we will refund your payment minus a 25% administration fee. Our terms and cancellation policies take precedence over all booking platform policies.

**Travel Insurance**

5. We strongly advise you to purchase Trip/Travel Insurance from a reputable provider to cover reservation costs in case you need to cancel within 60 days of arrival due to unforeseen circumstances, including illness, COVID-19, wildfires, weather, natural disasters, event cancellations, or other unexpected events. Trip/Travel insurance often includes various travel assistance services. Please consult your insurance agent for details.

**Property Regulations**

6. All Valley Vista Vacation properties are designated as non-smoking areas. Smoking is strictly prohibited inside the unit, on balconies, patios, and anywhere on the property grounds. Costs associated with smoke remediation and smoking violation fines (minimum $500) will be billed to your credit card on file.

**No Pets Policy**

7. Pets are not allowed in any of our properties unless pre-approved as assistance or companion animals. No pets, except as specified in this Agreement, are permitted on the Premises. Breach of this provision will result in reservation termination without a refund.

**Occupancy and Registered Guests**

8. Only registered guests are permitted on the property unless otherwise permitted by the host or Valley Vista Vacations. Please adhere to the maximum overnight occupancy limit, including children.

**Amenities and Supplies**

9. Your rental property includes:

- Linens: Bed linens, bath towels, and kitchen towels.

- Supplies: Dish soap, dishwasher soap, hand soap, a starter roll of paper towels, a starter supply of toilet paper, shampoo, body wash, a hair dryer, a basic drip coffee machine, and starter supplies. You are responsible for your personal items, additional supplies, and food for your stay.

- We do not provide condiments, boogie boards, or beach toys. Please bring your own beach towels, as taking home linens or towels for outdoor activities is not permitted.

**Grills**

10. Gas and charcoal grills are provided but require guest cooperation for maintenance and cleanliness. We will ensure the grill is clean and the tank is full upon your arrival. Please clean the grill after use, and if the gas tank runs out during your stay, contact us for a replacement.

**Local Regulations**

11. Guests must comply with all local laws, bylaws, and strata rules (where applicable). You are responsible for any violation fees assessed during your stay.

**Unit Availability**

12. Each property at Valley Vista Vacations is individually owned and unique. In the rare event that your reserved unit becomes unavailable, we will promptly contact you and make every effort to transfer your reservation to a comparable unit.

**Review of Documents**

13. It is your responsibility to review all rental documents and report any inaccuracies to Valley Vista Vacations within 48 hours of booking confirmation via email (owners@valleyvistavacations.com) or phone (250)-462-0900.

**Identity Verification**

14. Valley Vista Vacations reserves the right to verify your identity before check-in. Guests must provide a government-issued ID and the credit card used for the reservation as well as complete a guest check-in form prior to arrival. Access codes for properties will not be issued without completion of check-in form and proper government issue photo ID being provided. Refusal to provide ID or to complete the check-in form will result in reservation be cancelled. Any applicable refund will be subject to the cancellation policy under sections 4 & 20 of this agreement. Our terms and cancellation policies take precedence over all booking platform policies.

**Liability**

15. Neither the host, Valley Vista Vacations, nor the property owner shall be liable for injury, loss, or damage to persons or property on the premises, including but not limited to the use or misuse of amenities or areas posing a liability risk. Guests must supervise children at all times.

**Items Left Behind**

16. The Host, Valley Vista Vacations, and Owners are not liable for loss of personal property. Please ensure all personal items are removed before departure. A $50.00 service charge, plus shipping costs, will apply if we locate and return lost items.

**Stays over 28 days**

17. Stays exceeding 28 days require completion of an RTB-8 form by all guests before arrival.

**Mandatory Evacuation**

18. In case of a mandatory evacuation order by provincial or local authorities covering the Premises, Guests are obligated to comply with the order.

**Access and Maintenance**

19. Host, Valley Vista Vacations, or the owner may enter the Premises during reasonable hours for inspection, repairs, alterations, or improvements.

**Payment and Refunds**

20. Guests must pay in full upon booking and are responsible for the entire confirmed stay. No refunds or credits are provided for early departures, inclement weather, road conditions, power outages, acts of God, criminal activities, economic downturns, political changes, or other conditions beyond the Agent's control, except in the case of mandatory evacuation. Our terms and cancellation policies take precedence over all booking platform policies.

**Terms & Conditions Supersede Booking Platforms**

21. Valley Vista Vacation's terms & conditions and cancellation policies take precedence over any booking platform policies and are subject to change without notice.
